The School Receptionist will be responsible for managing the reception area, ensuring a welcoming environment, and overseeing essential administrative functions. This individual will also play a key role in managing teachers and support staff, maintaining a productive and professional atmosphere that upholds our high standards of service and education. The ideal candidate has a passion for service, impeccable organizational skills, and the ability to manage people and processes with precision and care.

Key Responsibilities:

  • Oversee the daily operations of a busy school reception, ensuring that students, parents, and visitors receive a warm welcome and timely support.
  • Ensure a smooth and effective flow of communication in person, over the phone, and via email.
  • Coordinate with other departments to ensure that information is communicated consistently and accurately.
  • Maintain a clean, organized, and professional appearance of the front office and reception areas.
  • Manage the reception staff, including training, scheduling, and performance management, to ensure all duties are performed to the highest standard.
  • Work closely with teachers and support staff to ensure that schedules, coverage, and resource needs are met.
  • Serve as the primary point of contact for staff issues and concerns, helping to resolve conflicts and maintaining a positive workplace culture.
  • Conduct regular staff meetings to ensure open communication, set priorities, and address any operational challenges.
  • Coordinate teacher and staff schedules, manage absences and substitutions, and ensure classrooms are appropriately staffed at all times
  • Implement and maintain efficient administrative systems to streamline daily operations, including filing, record-keeping, and data management.
  • Ensure accurate attendance records and oversee the scheduling of student appointments, conferences, and events.
  • Manage school supplies and inventory, ensuring the school has all necessary materials and resources at all times.
  • Work closely with the principal and administrative team to support the school’s overall objectives, including special projects and event planning.
  • Serve as the face of the school to parents and visitors, providing outstanding customer service and ensuring every interaction is positive and professional.
  • Handle inquiries, complaints, and concerns with empathy and professionalism, escalating issues to senior leadership when necessary.
  • Continuously seek ways to improve processes and enhance the experience for parents, students, and staff.

Qualifications:

  • Bachelor’s degree in Business Administration, Education, or a related field.
  • 3+ years of experience in a similar administrative or management role, preferably within an educational environment.
  • Strong leadership skills with a proven ability to manage and motivate a team.
  • Exceptional organizational skills with meticulous attention to detail.
  • Excellent communication skills and a professional demeanor.
  • Proficiency in MS Office Suite and experience with school management software is a plus.
