ADMINISTRATION CLERK REQUIREMENTS:

Applicants are required to hold a high school diploma or equivalent in order to be considered.
No experience required.
Knowledge pertinent to the position:
A familiarity with clerical work, procedures, and practices, as well as the ability to record data, operate a computer, and compile statistics is required.
A familiarity with and comprehension of the regulatory structure that governs the public service sector.

A familiarity with standard operating procedures in relation to the working environment. Language skills, strong communication skills (verbal and written), planning and organization skills, computer literacy, interpersonal relations, flexibility, and the ability to work within a team are job-related skills.
Interpersonal relations, flexibility, and the ability to work within a team are also important.

ADMINISTRATION CLERK DUTIES

Provide administrative and general clerical support as needed.
Perform line functions such as recording, organizing, storing, capturing, and retrieving correspondence and data.
Keep the registers and the statistics up to date.

Handle routine enquiries.
You can both receive and send facsimiles as well as make photocopies.
As the situation warrants, distribute documents and packages to the various stakeholders.
Ensure that the component’s filing system is kept up to date and maintained.
When it is necessary, type letters and / or other forms of correspondence.
Ensure that the component’s incoming and outgoing document registers are kept up to date and maintained.
Taking notes and creating drafts of minutes.

It is the responsibility of this component to provide clerical support services for the supply chain.
Maintain communication with stakeholders both inside and outside the organization regarding the acquisition of goods and services.
Collect bids and fill out purchase order forms in preparation for making purchases of standard office supplies.
Stationery inventory management for the office.

Ensure that the component’s asset register is kept up to date and maintained.
Offer clerical and administrative support services within the component, focusing on personnel administration.
Keep a record of who has left the component in the leave register.
Ensure that all personnel records in the component are kept up to date.
Ensure that the component’s attendance register is kept updated at all times.
Make arrangements for your travel and accommodations.

Offer assistance in the component’s financial administration and administration of support services.
Compile and maintain an accounting of the component’s expenditures.
Verify that the claims that officials have made for travel and subsistence are accurate before submitting them for approval to the manager.
Take care of the component’s telephone accounts as well as its petty cash.
